Policies & Compliance

The policies that govern how Quality World Company for Training & Engineering Services trains, assesses, inspects, certifies and protects information. They are aligned with the requirements of the awarding bodies we deliver for, including NEBOSH, IOSH, Highfield, IIRSM, OSHAcademy and CQI | IRCA, with the ISO standards behind our services, and with the conditions of our Iraqi authorisations.

Effective: November 2026Reviewed at least annuallyOwner: Quality World Management

1. Learner, training & assessment policies

These policies apply to every course we deliver, online and at our Basra centre, and follow the centre requirements of NEBOSH Learning Partners and the other awarding bodies we work with.

Policy 1.1Equal Opportunities, Diversity & Fair Access

Every learner has the right to access our courses and assessments without discrimination.

Our commitments

  • We do not discriminate on the basis of gender, age, religion, ethnicity, nationality, disability, social background or any other characteristic.
  • Entry requirements, course information and fees are published clearly and applied the same way to everyone.
  • Learning materials and assessment arrangements are reviewed to remove unnecessary barriers.
  • Staff and trainers are briefed on this policy, and breaches are handled under our disciplinary procedures.
NEBOSH Learning Partner requirementsOfqual General Conditions (principles)
Policy 1.2Reasonable Adjustments & Special Consideration

Learners with a disability, a temporary injury, a learning difficulty or other circumstances can request support so the assessment measures their knowledge fairly.

How it works

  • Reasonable adjustments (for example extra time, a reader, a separate room or adapted materials) must be requested before the assessment, with supporting evidence.
  • Special consideration may be requested after an assessment when illness, bereavement or another event affected performance.
  • Requests are submitted to us and, where required, forwarded to the awarding body (for example NEBOSH), whose decision is final.
  • Adjustments never change the standard being assessed.
Policy 1.3Malpractice & Maladministration

We protect the integrity of every qualification. Malpractice is any deliberate act that compromises an assessment or certificate; maladministration is any failure to follow the rules, even if unintentional.

Examples

  • Cheating, copying, plagiarism or use of unauthorised material or AI tools in an assessment.
  • Impersonation, sharing of exam content, or falsifying documents or results.
  • Issuing a certificate without the required training and assessment, something we never do.

Our response

  • Suspected cases are investigated promptly, confidentially and fairly; the individual is informed and can respond.
  • Cases involving awarding-body qualifications are reported to the awarding body as required (for example NEBOSH).
  • Sanctions can include cancelled results, withdrawal of certificates and removal from courses.
  • Anyone can report concerns to ceo@sqw.academy; reports in good faith are protected.
Policy 1.4Assessment Integrity, Invigilation & Exam Conduct
  • Every certificate is issued only after the learner completes the required training and passes the required assessment, this is how our certificates stay recognised.
  • Exams are run under the awarding body’s instructions for conducting examinations, with trained, independent invigilators and identity checks against an official ID or passport.
  • Open-book and online assessments are checked for originality; remote invigilation follows the awarding body’s rules.
  • Exam papers, scripts and records are stored securely and retained for audit by the awarding body, our clients and the authorities.
  • Training attendance, assessment evidence and photographs are kept so that every certificate can be audited.
Policy 1.5Appeals
  • A learner can appeal a result or a decision (including malpractice or reasonable-adjustment decisions) in writing within 14 days of being informed.
  • Appeals are reviewed by someone who was not involved in the original decision; we respond within 20 working days.
  • If the qualification belongs to an awarding body, the learner can escalate to that body (for example NEBOSH’s enquiries about results and appeals process).
Policy 1.6Complaints & Feedback
  • Complaints can be made by phone, WhatsApp, email or in person; we acknowledge them within 3 working days.
  • We investigate fairly and aim to resolve within 15 working days, explaining the outcome and any action taken.
  • If the complaint is not resolved, it can be escalated to the relevant awarding body or authority.
  • Learner feedback is collected after every course and reviewed in our quality meetings.
Policy 1.7Conflict of Interest
  • Trainers, invigilators and assessors must declare any personal, family or financial relationship with a learner or client.
  • A person with a conflict of interest will not invigilate, mark or make decisions about that learner’s assessment.
  • Staff who take an assessment themselves are invigilated independently. Declarations are recorded and reviewed.
Policy 1.8Safeguarding & Learner Welfare
  • We provide a safe, respectful learning environment, in person and online, free from harassment and bullying.
  • Our services are intended for adults; any learner under 18 requires guardian consent and additional safeguards.
  • Concerns about a learner’s safety or welfare are handled confidentially by a designated member of management.
Policy 1.9Trainer Competence & Approval
  • No course opens without an international trainer authorised, approved and certified by the same awarding body.
  • Trainer qualifications, experience and approvals are verified and kept on file; trainers complete continuing professional development.
  • Teaching quality is monitored through observation, learner feedback and results.
Policy 1.10Certificate Issue, Verification & Replacement
  • Awarding-body certificates (NEBOSH, IOSH, Highfield, IIRSM, CPD, CQI | IRCA) are issued by those bodies after their quality assurance; this normally takes at least one month after the assessment.
  • Quality World certificates carry a unique code that anyone can check at sqw.academy → Check Your Certification.
  • A letter confirming enrolment can be issued while a certificate is in process. Replacement certificates require identity verification.
Policy 1.11Fees, Cancellation, Transfer & Refunds
  • Fees and what they include (training, exam fees, materials) are confirmed in writing before payment; payment is confirmed only on receipt of the transfer receipt.
  • A learner may transfer to a later group of the same course once, subject to availability.
  • If we cancel a course, the learner chooses a full refund or a place on the next group.
  • Exam fees already paid to an awarding body follow that body’s refund rules.

  • We prohibit offering, giving, requesting or accepting bribes, facilitation payments or improper gifts in any form.
  • Results, certificates, inspection outcomes and tenders can never be influenced by payment or favours.
  • Third parties acting for us must follow this policy. Breaches lead to disciplinary action and, where required, reporting to the authorities.
ISO 37001:2016

Staff, trainers and contractors act honestly, respectfully and professionally, protect confidential information and avoid conflicts of interest. Anyone can raise a concern confidentially to ceo@sqw.academy; no one is penalised for reporting in good faith.

  • Inspectors and auditors sign impartiality and conflict-of-interest declarations.

ISO/IEC 17025:2017
Policy 3.4Complaints & Appeals for Inspection and Certification

Clients can appeal an inspection or certification decision or file a complaint in writing. It is handled by people who were not involved in the original activity, and the outcome is communicated formally. Records are kept for review by the accreditation body.
